PURPOSE OF THE POSITION *
To provide complete support for all the lab related administration processes and ensure that the systems are running in an efficient and effective manner.
KEY RESPONSIBILITIES
SAP related activities: Provide complete end-to-end support for purchase of lab consumables, chemicals, packaging materials, etc. Prepares lab expense report on monthly basis. Review the equipment, consumable and inventory records maintained by the lab assistants.
Supporting the Lab Managers for documentation & coordination of AMC contracts renewal or new AMC of lab equipment’s, Projectors, etc.
Schedules and organizes meetings with vendors based on the briefing from lab managers. Support for Registration of lab vendors, customers, and visitors. Greeting and arranging meeting rooms/other provisions for the visitors. Attends meeting with the walk-in vendors and conveys information to relevant lab member.
Administration/Arrangement: Arranges for IT & facility support/services needed during Customer workshops, seminars & webinars organized in labs.
Ensure all the keys are properly stored and handed to the team as when required.
Ensure all the safety measures & compliance are adhered by the lab visitors
Coordination & Follow ups with external maintenance support team (Evonik engineering team)
Housekeeping & maintenance of lab and office area.
To schedule common lab meetings and sharing invite with the lab members.
To send timely reminders for weekly/monthly work reports and record keeping of the same.
Leading the arrangement of team recreations and occasional celebrations.
Single point of contact with purchase and logistic teams.
To facilitate and supervise receiving lab materials (equipment & consumables).
Checking maintenance of equipment logbooks and SOPs.
Arranging travel & accommodation of overseas visitors.
Manage sample inventories, conduct periodic reviews, execute customer sample request, maintain records in line with SOP.
REQUIREMENTS OF POSITION*
Bachelors/Masters in any stream. 2 to 3 years of progressive employment in an administrative role. SAP experience is required.
Good knowledge of Microsoft Office (Word, Excel, Outlook, and PowerPoint).
Knowledge of the best practices in office administration.
