Job Title: Document Scanning Operator
Reports to: Office Manager / Operations Supervisor
We are seeking a detail-oriented and reliable Document Scanning Operator to join our team. The ideal candidate will be responsible for the efficient and accurate digitization, indexing, and archiving of a variety of physical documents. The operator will play a key role in maintaining a secure and accessible digital records system while ensuring all documentation is handled with the utmost confidentiality.
Key Responsibilities
Document Preparation: Prepare physical documents for high-speed scanning by removing staples, paper clips, and other bindings, as well as repairing torn or damaged pages.
Equipment Operation: Operate and maintain high-speed scanners, related software, and other imaging equipment to convert physical records into digital files.
Quality Control: Perform rigorous quality checks on all scanned images to ensure legibility, clarity, completeness, and correct orientation.
Indexing and Archiving: Name, index, and categorize scanned files according to established company guidelines or client specifications. Upload documents into the designated document management system.
Data Entry: Perform accurate manual data entry when necessary to supplement document information and ensure the database is up-to-date.
