Executive Assistant to Executive Chairman
Key job responsibilities:
- Provide support to the Executive Chairman for activities related to general administration, calendar management, recruitment, expense filing, human resource, stakeholder support including taking calls, scheduling meetings, emailing, and internal coordination with team members
- Assist the Executive Chairman to manage and conduct cross functional meetings and report the minutes
- Follow up on agendas as per the timelines discussed with the cross functional teams
- Provide a bridge for smooth communication between the CEO's office, internal departments and investors
- Provide day-to-day strategic support to the CEO office - which includes the preparation and routing of reports, presentation decks, dashboards, etc.
- Research, prioritize, and follow up on incoming issues and concerns including those of a sensitive or confidential nature - determine appropriate course of action
- Liaise with internal staff, and external stakeholders at all levels
- File and retrieve documents and reference materials
- Demonstrate leadership to maintain credibility, trust and support with senior management staff
You fit the bill if you have:
- At least 5+ years' experience demonstrating proficiency in a similar role to exhibit organizational and planning skills, judgment and decision-making ability, initiative, adaptability and attention to detail and accuracy
- Advanced problem solving and research & planning skills to manage deliverables and timelines
- Exceptional organizational skills to manage high-level communication with both internal and external stakeholders
- Ability to communicate at all levels of the organization, driven, motivated to continually learn, the role has a deep career runway
- Ability to successfully manage complex, fast-moving and unexpected communications & challenges in order to deliver stellar results
- Strong MS Office skills, specifically strong working knowledge of MS Excel (formulas, lookups, pivots) and PowerPoint
- Possess excellent verbal and written communication skills.
- Be a self-starter who can anticipate needs and fulfil on them in a proactive manner.
- Have the experience, maturity and ability to prioritize and manage his/her workload in order to meet deadlines; must be proficient in multitasking
- Have experience working in an international environment calendaring among different WW time zones
