Overview
The Office Coordinator will be responsible for the overall administrative and facilities functions of the office. As the first impression of our company, the Office Coordinator must exhibit professionalism at all times, even under pressure, be well organized, flexible, and should enjoy the administrative challenges of supporting a small corporate office of diverse people and programs, that stretches across the globe. Should be able to treat the employees as internal customers and providing a helping hand proactively.
RESPONSIBILITEIS
Facility/Reception Management
- Ensuring a congenial working environment is maintained at all times during working hours.
- Efficiently manage the Reception area. Handling the visitors and phone calls.
- Managing the support staff (Housekeeping, Pantry and Security).
- Maintaining essential office supplies like pantry consumables, housekeeping materials, stationery and other supplies.
Transport Services Management
- Efficiently managing the transport services as per allocated roster
- Proactively looking out for cost optimization while allocating cabs as per shift roster
- Handling frequent escalations and concerns from employees.
- Adhering to all compliance related to female employees at night hours.
- Manage rigorous documentation to police verification reports of drivers, car papers etc
Accounting Support
- Initial screening of invoices from vendors and expense claims of employees.
- Initial screening of the expenses for payment as per company policies.
- Proper documentation and filing of records and invoices.
Miscellaneous
- Assist with other related clerical duties such as photocopying and filing
- Assist with the coordination of company / employee activities and events.
- Handle the Travel request of employees – Managing hotel booking, ticketing and transfers.
- Any other activity as specified by company for smooth functioning of the office
Requirements
- The candidate must have a graduation degree in any stream.
- 3+ years of experience in a similar profile.
- Excellent communication and multi-tasking skills, organization and attention to detail.
- Capacity to work independently and take initiative, but is also a team player.
- Ability to keep information confidential.
- Intermediate computer experience (including Microsoft Word, Excel, PowerPoint and Outlook).
- Equipped to work in a fast paced environment.
