• Act as a point of contact between the executives and internal/external clients and provide support in operational activities.
• Lead Change and communication activities within the department
• Collating data/ preparation of presentation for department head
• Maintain executives calendar, arrange meetings, conferences, teleconferences and provide reminders.
• Make travel arrangements, preparing structured agenda. Submit reimbursement claims in Concur.
• Manage and support arrangement of team meetings, offsite meetings, documenting & publishing minutes, following up on action items bringing to conclusion.
• Raise Purchase Requisition and pass Good Receipt Note/ Service Entry in SAP for services availed/ goods purchased related to the department.
• Pass WPA entry for month end accruals related to services/ goods. Provide explanation for the workflow created for the vendor invoices related to the department.
• Liaise with global teams on administrative tasks e.g. issuance of visa invitation letters, preparing covering letters, coordinate logistics arrangements etc. for colleagues visiting the country.
• Perform role of cost center representative for the department related to Fixed Assets which includes initiation of asset requisition/ transfer/ retirement, tracking & confirmation of asset on yearly basis & coordinating physical verification.
• Responsible for managing OIM (Operational Incident Management) shiftplan, emergency contact list, OIM on duty
• Monitor incident management tool and prepare or facilitate OIM meetings; taking care of necessary co-ordination and communication activities(internal/external)
• Responsible for developing/maintaining best practices to support related OIM activities

WHO YOU ARE:

• University Degree with at least 2-3 years of experience in IT
• With relevant experience of 1 -2 years in SAP Basis or Authorization
• Excellent communication and interpersonal skills. Fluent English skills both in the spoken and written form and local / regional language
• Good understanding of the HR business and related processes is preferred
• Ability to plan and align, manage complex scenarios, push for significant results, thereby managing multiple complex environments
• Strategic mindset and courage to actively drive future-oriented developments under ambiguous circumstances and with various stakeholders
• Ability to work in an international and intercultural environment as a team player with good communication and presentation skills
• Fluent in English, both written and spoken
