Principal responsibilities:

• To maintain realistic and manageable diaries.
• To ensure all aspects of meetings/conferences are organised, agendas developed and prompt action taken maintaining timely responses to deadlines at all times.
• To attend and minute meetings as required.
• To remain conversant with work loads for Senior Management in order to assist with management of workload and field enquires on service issues.
• To liaise with members of the public and elected Members on behalf of the Senior Leadership Team.
• To undertake tasks for the corporate centre, project work and research as directed with minimal supervision.
• To receive, sort and prioritise mail, and emails, redirecting as appropriate and responding to all routine correspondence without direction
• To provide cover across the team as and when required.
• Demonstrate awareness/understanding of equal opportunities and other people’s behavioural, physical, social and welfare needs.
• Ensure that reasonable care is taken at all times for the health, safety and welfare of yourself and other persons, and to comply with the policies and procedures relating to health and safety within the department.
• Carry out any other duties which fall within the broad spirit, scope and purpose of this job description and which are commensurate with the grade of the post.

• Extensive experience as Personal Assistant to a senior manager or similar employment experience;
• Superior office management and organisational skills, including hospitality supervision and support skills;
• Excellent oral and written communication, and highly developed liaison and interpersonal skills;
• Competent IT skills; good working knowledge of applicable software applications such as Lotus Notes, Microsoft Word and Excel;
• A working style that is team oriented and flexible and the ability to handle pressure;
