Job Description

Job Profile: Receptionist

Position: Receptionist
Location: Lucknow
Department: Administration
Reports to: Office Manager

Job Summary: The Receptionist at Saanvi Kalyaan Foundation will serve as the first point of contact for visitors and callers, providing a warm and professional welcome. The ideal candidate will manage the front desk efficiently, perform various administrative tasks, and support the smooth operation of the office.

Key Responsibilities:

  • Front Desk Management:

    • Greet visitors warmly and provide a positive, friendly, and professional image of the Foundation.
    • Manage incoming calls, route them to the appropriate departments, and take messages as needed.
    • Handle inquiries from the public and provide accurate information about the Foundation’s programs and services.
  • Administrative Support:

    • Manage and organize the reception area, ensuring it is tidy and presentable.
    • Receive, sort, and distribute daily mail and deliveries.
    • Maintain appointment and meeting schedules for staff, including booking meeting rooms.
    • Assist with various administrative tasks such as data entry, filing, and managing office supplies.
  • Visitor Coordination:

    • Register and provide visitor badges, ensuring all guests sign in and out.
    • Inform relevant staff members of visitor arrivals and guide visitors to the appropriate locations.
    • Manage the visitor log and maintain security protocols.
  • Communication and Coordination:

    • Act as a point of contact for internal and external communications.
    • Coordinate with other departments to ensure seamless operations and effective communication.
    • Assist with the preparation of correspondence, reports, and presentations as needed.
  • Event Support:

    • Assist in organizing and coordinating Foundation events, meetings, and activities.
    • Provide logistical support for events, including setting up meeting rooms, arranging catering, and preparing materials.
  • Qualifications:

    • Education: High school diploma or equivalent; additional qualifications in office administration are a plus.
    • Experience: Previous experience as a receptionist, front office representative, or similar role is preferred.
    • Skills:
      • Excellent verbal and written communication skills.
      • Strong organizational and multitasking abilities.
      • Proficiency in MS Office (Word, Excel, Outlook).
      • Familiarity with office equipment (e.g., printers, fax machines).
