Summary:
We are seeking a friendly, professional, and organized receptionist to join our team. The receptionist will be responsible for providing excellent customer service to clients and visitors, managing incoming calls, and performing various administrative tasks. Responsibilities:
Greet and welcome clients and visitors in a courteous and professional manner.Answer and direct incoming calls to the appropriate departments or individuals.Maintain a tidy and presentable reception area.Assist in scheduling appointments and managing calendars.Handle incoming and outgoing mail and packages.Maintain office security by following safety procedures and controlling access via the reception desk.Perform basic administrative tasks, such as filing, photocopying, and data entry.Assist with various projects and tasks as assigned by management.Provide general administrative support to staff as needed.Keep inventory of office supplies and place orders when necessary.Assist with organizing meetings and events, including booking conference rooms and arranging catering.Maintain confidentiality of sensitive information and uphold company policies.
Requirements:
High school diploma or equivalent; additional certification in Office Management is a plus.Proven work experience as a receptionist or in a similar role.Proficiency in Microsoft Office Suite (Word, Excel, Outlook).Excellent verbal and written communication skills.Strong interpersonal skills and customer service orientation.Ability to prioritize tasks and manage time effectively.Attention to detail and accuracy in completing tasks.Professional appearance and demeanor.Ability to maintain composure under pressure and handle difficult situations with grace.Knowledge of office equipment, such as fax machines and printers.Flexibility to work occasional evenings or weekends as needed.Familiarity with multi-line phone systems is a plus.This job description outlines the basic duties and requirements for the position of receptionist.
