Qualifications / Experience / Knowledge:
- Excellent interpersonal & communication skills
- Microsoft Office capability, especially Excel and PowerPoint
Administration:
- Primary support for Senior Manager(s)
- Maintain calendar, setting up meetings and ensuring co-ordination of all engagements for the day
- Raise system access through various request based tools
- Mail group maintenance
- Inventory management - paper, cartridge and stationery supplies
- Call Tree results co-ordination
- Support on key business initiatives related to MIS / follow-ups etc.
MIS: Track Leavers / Movers / Joiners for both full-time and interns and provide regular MIS to management and HR.
Training, Leave and Travel Management:
- Track Mandatory training completion
- Co-ordination for Reward & Recognition
- Transport roster and meal co-ordination for the department
- Provide support for visiting executives / senior managers
- Co-ordinate domestic and international travel
Accounts and Vendor Management:
- Track consultants and process their payments
- Expense administration and accounts payable
Business & Operations Management:
- To liaise with internal service support teams like sourcing, procurement, market database, finance, legal, compliance, GSI & technology teams.
- To provide IT systems support to staff, liaise with GTI team to ensure the good maintenance & operation of the IT infrastructure.
- Real Estate management – manage/coordinate floor move/access; maintain the floor plan, etc.
- Management of on/off boarding process and verification/validation process. The central point for the business for joiner, leavers and transfer and business technology.
- Provision of technology hardware, applications and market data. Responsible for raising technology related request for the business area via JPMorgan system.
- To work closely with the senior management to ensure smooth functioning of the department.
