Job Description

Responsibilities:
  • Administrative Support:
  • Provide general administrative support to ensure efficient operation of the office.
  • Manage and distribute incoming correspondence, including emails and phone calls.
  • Maintain and update office records, including employee records and office expenses.
  • Prepare reports, presentations, and other documents as needed.
  • Office Management:
  • Ensure the office is well-maintained, organized, and equipped with necessary supplies.
  • Coordinate office equipment maintenance and repairs.
  • Manage relationships with vendors, ensuring timely delivery of supplies and services.
  • Communication:
  • Serve as the point of contact between employees and management.
  • Facilitate internal communication, ensuring important information is disseminated to the team.
  • Schedule and organize meetings, including setting up conference rooms and coordinating catering when necessary.
  • Human Resources Support:
  • Assist in the recruitment process by coordinating interviews and managing candidate communications.
  • Support the onboarding process for new employees.
  • Maintain and update employee records, including time and attendance.
  • Travel Coordination:
  • Arrange travel accommodations and itineraries for employees as required.
  • Process travel expenses and ensure adherence to company policies.
  • Financial Administration:
  • Assist in managing office budgets and expenses.
  • Coordinate with the finance department for invoicing and financial reporting.
  • Health and Safety:
  • Ensure compliance with health and safety regulations.
  • Implement and maintain office safety protocols.
  • Problem Solving:
  • Address and resolve administrative issues and challenges promptly.
  • Identify areas for process improvement and implement effective solutions.

Requirements:

  • Proven experience as an Office Administrator, Office Assistant, or similar role.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficient in MS Office (Word, Excel, PowerPoint) and office management software.
  • Knowledge of basic HR processes and procedures.
  • Ability to work independently and collaboratively in a team.
  • Attention to detail and problem-solving skills.
  • Prior experience in office management or administration is preferred.
