Role and Responsibilities:
Office Management:
Greet visitors and employees with a friendly and professional demeanour.
Answer and direct phone calls, take messages, and provide accurate information.
Visitor Assistance:
Register and escort visitors, ensuring a welcoming and secure environment.
Maintain the reception area, ensuring it is clean and organized.
Mail and Package Handling:
Receive, sort, and distribute mail and packages to the appropriate recipients.
Manage outgoing mail and shipping requests.
Appointment Scheduling:
Schedule meetings, conference rooms, and appointments as requested.
Ensure calendars are up-to-date.
Information Resource:
Provide general information about the company, its services, and location details.
Offer assistance to visitors with inquiries and requests.
Record Keeping:
Maintain records, including personnel files, benefits information, and other related documents.
Benefits Administration:
Support benefits enrollment processes, including explaining benefit options to employees.
Recruitment Assistance:
Assist in coordinating interviews.
Collect and organize applications and resumes.
Employee Relations:
Serve as a point of contact for employees' related questions and concerns.
Maintain employee confidentiality.
